Database Coordinator: Full-time Exempt

 

Qualifications: Qualified candidates must be expert in a full range of computer software packages such as but not limited to Access, FileMaker Pro, Oracle, MS Office Suite, and other database software. This position requires an Associate’s degree in a related field, or minimum three years of progressively responsible experience with databases including design, implementation, data entry, development, report retrieval, query design, and presentation of information to end users in applicable charts, graphs and appropriate displays. Additional skills required are impeccable organizational, time management, and attention to detail. The successful candidate must have the ability to work independently, follow directions, manage multiple tasks, adhere to strict deadlines, and produce accurate information/reports. Preference will be given to candidates familiar with Social Solutions’ ETO (efforts to outcome) software, those who have bookkeeping experience, and those with financial software packages.

 

Responsibilities:

Data input

Work with administrative assistant to ensure that case managers and anyone else on staff inputting data is entering the data correctly and timely, in the right fields, and that it is complete to the best of their ability to provide complete information

Expand current data entry manuals to continually clarify how to input data

Routinely spot check data to ensure completeness

Routinely compare cases entered in the database against the electronic log, to ensure no duplication and completeness, check electronic log for accuracy

Perform monthly quality assurance checking to make sure efforts are recorded, assessments are completed at designated intervals, cases are closed appropriately, that case notes are entered and complete the appropriate dismissal categories are utilized  and current address information is entered

Create file templates, for data entry, data importing, and data exporting as required

Create, revise, edit and incorporate elements within current assessments as required

Create  and revise Point of Service elements as required

Provide Supervisors with staff productivity reports

 

Reporting

Gather and formulate monthly information from all departments to satisfy the monthly reporting requirements of the repatriation contract

Generate monthly, quarterly, semi-annual and annual statistics to support the reporting requirements  for the Repatriation Program

Prepare monthly, quarterly, semi-annual and annual reports for the repatriation program

Respond in a timely manner to last minute requests for information and statistics regarding the repatriation program

 

Repatriation fiscal duties

Process repatriation reimbursement requests, log in the reimbursement log, track the progress, research and resolve incompleteness issues, complete 3955 assessments in the database, ensure all forms are submitted, make recommendations for payment, submit for approval, coordinate payment approvals with finance  

Maintain finance contact database for payment of repatriation reimbursements

Review and monitor database completeness and entry in the Emergency Evacuation Program

Provide reports, statistics, and information as requested for the evacuation program

Revise and edit Emergency Evacuation templates for state entry, as required

 

Training

Provide monthly case worker, supervisor, and staff trainings for ETO with the assistance of the administrative assistant

Provide new users training and orientation for the ETO database, data entry, reporting, assessments, etc.

Maintain written documentation manual for all ETO operations, including data input, reporting and other database functions

Complete certification training for ETO Site Administrator

All other duties as assigned

 

 

This position is available immediately with a salary range of $35,000 to $40,000 per year depending upon experience.
